Personal Email Accounts No Longer Permitted in Outlook
At Franklin University, we are constantly striving to improve security and reduce vulnerability. When emails come into Outlook software, a copy of that email is downloaded onto your device. Therefore, use of personal email accounts through Outlook presents a vulnerability where those downloaded emails may not face the same rigorous security filtering as would emails send directly to your Franklin email account.
Based on the explanation above, and in accordance with the Franklin University’s Acceptable Use Policy, The IT department no longer allows non-Franklin University email addresses to be added to Outlook. This change applies to our full-time faculty and staff members, as they use university-owned computers. This change will not affect adjunct faculty accounts or students.
- This change does NOT apply to any email with the suffix of @franklin.edu or @email.franklin.edu. Such email addresses are permitted.
As this configuration change was recently enacted, there may be some staff and faculty members with personal/non-Franklin University email accounts presently connected to Outlook. Due to the increased security risk, the steps below will detail how to remove personal accounts from Outlook. Please complete these steps as soon as possible and reach out to the Help Desk should you encounter any errors.
Removal of Personal Email Accounts - New Outlook
Please complete these steps as soon as possible.
1. Right-click on the personal email account in Outlook and select Manage Account.
2. Find the personal email account in the list and select Manage.
3. Click the Remove button.
4. Click Remove.
Removal of Personal Email Accounts - Outlook Classic
Please complete these steps as soon as possible.
1. Go to the File menu, the Account Settings drop-down menu, and select Account Settings.
2. Highlight the non-Franklin University email address and select Remove.
Removal of Personal Accounts - Outlook Mobile on Franklin University issued cell phones
This section only applies to those who were given Franklin University-issued phones and use the Outlook mobile app on that phone.
1. Open the Outlook app on your Franklin University-issued phone. Click on the Home icon in the upper-left corner to see the settings icon. Click on the settings icon.
2. Select Accounts.
3. Select the non-Franklin University account.
4. Scroll to the bottom of the menu and select Remove Account.
