Setup and Logging into the UKG Pro Mobile App
Open Apple App Store or the Google Play Store and download the UKG Pro (UltiPro) app from the Ultimate Software Group, Inc.
When you first open the app, it will ask you for a company code.
- Franklin University company code: FranklinUniv
Next, there are 2 ways to log into the mobile application.
- If you know your password (only used for UKG Pro), it can be entered in the boxes along with your email address.
- If you would rather log in using your main University username and password, click on the blue Use SSO (Corporate Credentials)button to be taken to a Franklin-specific log in page.
Either option will then require two-factor authentication using a text message or phone call.
When you log in for the first time, you can register using Touch ID, Fingerprint, or Face ID functionality by following the directions on your mobile device. You can also enable this functionality from within the mobile app settings.
1. Navigate to Menu(within the UKG Pro mobile app)
2. Click Settings
3. Then click Touch ID or Fingerprint, or Face ID, depending on the functionality your mobile device has.
4. Toggle the slider to be in the on position.
5. You will be asked if you want to sign in with Touch ID or Face ID. Click Yes.
Moving forward, you can sign in using Touch ID or Face ID instead of the two aforementioned options. These will expire after 180 days (for most features – some require you to enter in your credentials after only 30 days). To turn off the Touch ID or Face ID option, repeat steps 1 - 3 above, and toggle the slider to be in the off position.
View and Update Your Profile
Similar to the desktop version of UKG Pro, you can use the mobile app to view and edit such as your phone number, address, email address, and emergency contacts, and more.
1. Navigate to Menu(within the UKG Pro mobile app)
2. Open Profile
- Here you can view your personal, job, and salary information.
3. Open Edit - You may be prompted to sign in using one of the two original sign-in options mentioned above.
- Similarly to how you would make updates to your personal information on the desktop version of UKG Pro, you can update information such as your phone number, address, email address, and emergency contacts.
View Your Pay
Use the Pay portion of the app to view current and past payment information.
From this screen, the top of the page allows you to toggle between data regarding your most recent pay vs. data regarding your year-to-date pay. The data presented includes your gross pay, the amount of net pay you received, and the deductions and taxes taken out.
Further down, if applicable to your role, you will see when your next regular pay is scheduled
Underneath that, you can view and open past pay statements. Clicking on one specifically will allow you to view information about your current pay. The PDF icon in the top right corner of each pay statement allows you to view your pay statement in PDF form. The "<" shaped icon in the top right corner allows you to decide how to want to send/save the pay statement PDF (such as in an email or text).
Also within the Pay portion of the app, you will then see your direct deposit account(s). If you select View All, you can see both active and inactive accounts. By clicking on one account, you can see information about the account. You can make changes to this by pressing the Edit button. You may be prompted to sign in using one of the two original sign-in options mentioned above. Don't forget to Save any updates made.
Finally, under Direct Deposit Accounts in the Pay portion of the app, you will see an area for Taxes. By selecting View All, you will have the option to open and view your W-2, as well as your federal and state tax documents. You may be prompted to sign in using one of the two original sign-in options mentioned above in order to view the documents. You can also turn on or off the option to receive your W-2 electronically instead of a paper copy.
Employee Time Entry
Click on the Timesheets button (your icons may be somewhat different than the icons in the screen shots based on your role).
At this screen you can toggle between different time periods, view a particular day (to enter time for that day), and submit your sheet when complete.
Within an individual day, you can enter time.
Employee Time Off Request
Click on the Time Off button (your icons may be somewhat different than the icons in the screen shots based on your role).
Here you can start a new time off request and see a history of time off requests.
Giving
Click on the Giving button (your icons may be somewhat different than the icons in the screen shots based on your role).
There are a number of campaigns available to donate to, such as the 1902 Leadership Circle Scholarship, the Franklin Make It Possible Fund, the Student Emergency Fund, and more. Scroll through the Campaigns tab on the left to see all available campaigns.
Select the campaign you would like to donate to by clicking on it.
Once you click on it, you will find more information about the campaign, and can see the campaign donation progress.
Enter an amount greater than 0 in the Donation amount field. Please note, some campaigns require specific donation amounts to be made.
The Company is greyed out, since there is only one company to choose from.
Select the Donation start date (this is the pay date where donations will be taken from your pay check).
If you want to make recurring donations, click the box next to “Donate this amount from each regular pay”. If checked, your donation amount will be deducted from every regular pay until you manually stop donations. Donations will not be deducted from supplemental pay such as bonuses.
Once all fields are completed as desired, click “Submit” at the bottom of the screen. To view your current donations, click the My Donations tab back on the main Giving page.
Supervisor Time Approval
Click on the Team Timesheets button (your icons may be somewhat different than the icons in the screen shots based on your role).
At this screen you can toggle between different time periods, and expand individual employee time sheets.
Click on an employee’s name to open their time sheet. Then you will be able to approve their time, as well as review the hours recorded for each day.
Supervisor Time Off Management
Click on the Team Time Off button (your icons may be somewhat different than the icons in the screen shots based on your role). This will allow you to see and approve time off requests, as well as review a history of team time off requests.
Directory
Click on the Directory button (your icons may be somewhat different than the icons in the screen shots based on your role). Use the Search function to search for a specific individual, and click on their name when it appears. Here, you will be able to see their title, picture (if uploaded to UKG Pro), and contact information.
Org Chart
Click on the Org Chart button (your icons may be somewhat different than the icons in the screen shots based on your role).
The initial view of the page will be your specific place in the organization. Toggle through the org chart by swiping up, down, left, and right. Similarly to the Directory, by clicking on a person’s name or photo, you will be able to view their profile which includes their title, photo, and contact information.
Benefits
Swipe to the second page of the main screen, and click on the Benefits button (your icons may be somewhat different than the icons in the screen shots based on your role).
This page will show your seniority date with the organization, all the current benefits you are enrolled in, and the dollar amount taken out of your most recent pay check. By clicking on any one of the benefits, you can see the benefit details. For instance, if you are enrolled in a Vision plan, you can click on the plan to see who is covered under the plan, the employee and employer dollar amount contributions for this most recent pay AND year to date. Additionally, you can see the coverage start date and the deduction start date.
Retirement Plans
Click on the Retirement Plans button (your icons may be somewhat different than the icons in the screen shots based on your role).
This page will display your total dollar amount contributions to your retirement plan(s) for the current year. Under this display, you can then click on each applicable plan to learn more about it. For instance, by clicking on the 403b plan, you can see your percent contribution per pay check, your year to date dollar amount contributions vs. total dollar amount contributions, and your deduction start date.
