1. Adding a Student Back to a Live Section
Occasionally, a student will get dropped from a course where access needs reinstated. Most commonly, this happens as a result of too many absences being entered, with a later correction to attendance taking place. In such cases:
Scenario A: If the course is part of the Attendance Automation System (applies to many courses, but not all) AND the Instructor is adding them back within 72 hours of the student being dropped, please see these instructions for handling student drops and re-additions to a course.
Scenario B: If the course is not part of the Attendance Automation System AND/OR the readmittance is taking place after 72 hours after the student was dropped:
1. Reach out to the Registrar’s Office to gain approval for reinstatement.
2. If approved, the Registrar's Office will be able to prompt reinstatement, which can take up to 24 hours for course access to show for the student afterwards.
IMPORTANT for Scenario B: You as the instructor will need to update the student’s attendance record in Self Service directly following reinstatement. Otherwise, automation may remove the student from the course again at midnight that day of reinstatement-completion. . 2. Incomplete Grades Process: Granting Student Extended Access to a Section that Will Be Ending Soon
If you need to grant a student access to a section that will soon end, there is a process to grant extended access in such cases. As the instructor, you can grant the student an “Incomplete” final grade, which will extend the student’s access as well as your instructor access to a section 30 days after the beginning of the next trimester.
1. Log into Self Service at https://selfservice.franklin.edu.
2. Go to the Grades section and select the section in question.
3. Assign the student a final grade of "I" (for Incomplete).
4. Once the "I" final grade is submitted, the student's and the instructor's access in Canvas will be automatically extended to 30 days after the beginning of the next trimester. If extended Courseware interaction is needed, please reach out directly to the publisher to request such access.
5. After granting an Incomplete grade, if the student then needs a new final grade (upon completion of their work), new final grade submission will need to take place with the Registrar’s Office via their Grade Change Form.
3. Prior Section Interaction: Instructor Process for Students to Complete Section Work Outside of the Incomplete Grades Process
If coursework still needs completed by the student and the Incomplete Grade Process (as described in the Section above) is not an option, different steps need to be taken. Such cases for requesting extended interaction could be if the Incomplete Grade time-window has passed, or if a final grade other than Incomplete grade was submitted for the student, and so on.
1. Reach out to the Registrar’s Office to gain approval for special access and the potential forthcoming grade alteration. Approval is required from the Registrar's Office.
2. The section will not need “re-opened” as both the student and you as the instructor will still be able to see the section in Canvas via the Course menu > All Courses button. From here, assignments can be opened and accessed. If extended Courseware interaction is needed, please reach out directly to the publisher to request such access.
3. Assignment submissions should be sent to the instructor by the student via email.
4. Once coursework is completed and a new final grade is calculated, new final grade submission will need to take place with the Registrar’s Office via their Grade Change Form.
