Setup Chat, Video Calls, and Files Sharing using a Meeting Link
Within the Teams application, you can use your calendar to schedule a meeting.
1. Double click and empty space on your calendar to open a new meeting.
2. Give the meeting a title. You can leave the attendees empty. Additionally, the start and end times for the meeting can be accurate to when your group will meet, but the link will work outside of that time window as well. When ready, press Save.
3. Reopen the saved meeting on your Teams calendar by double clicking on it.
4. Copy the meeting link and information from body of the Meeting Info section.
5. If you are not aware of your classmates email address(es), you can paste the meeting invite information into a Canvas Inbox message to classmates you wish to collaborate with.
- For more information about using Canvas Inbox: please click here
- Please note that your initial copy of the meeting information often does not copy to easy-to-use meeting join link. You can copy that separately and paste that link as well, or others can join the meeting invite using the Meeting ID and Passcode information from the invite.
[alternate join option shown below is part of the Calendar view]
6. After classmates have joined the meeting, they can then start chatting with one another for continual collaboration beyond the meeting times. The organizer and other attendees can even join the meeting beforehand or at anytime to establish chat. Afterward, this chat will show up in your recent chat menu in Teams.
Chat
Establishing a chat session with your classmates will then allow your group to video call as needed and also file share. You also start a chat session with your classmates using their email addresses or using the meeting link option as shown above. Alternatively, if you have access to the email addresses for your classmates, the following is a guide to start a student on-on-one chat or student group chat: please click here.
Video Call
Once a chat session is established, you can start an audio or video call with the individual or group at anytime using these icons in the corner of the chat.
Once in a group call, to monitor your meeting microphone and camera settings, use the More Options Menu (3 dots) and select Settings and then Device Settings.
If you record the video call, the recording will start processing after the call has completed. After the recording processes, it can be accessed from your OneDrive. Additionally, you can get an access link for the recording in OneDrive (link here) and opening the Recordings folder.
File Sharing
Files can be shared in chat. Use the icon shown here when typing your chat reply to file share.
Please note that by default, files are shared in view-only mode. To allow those in the chat to edit the file, please click on the message People in this chat with the link can view. This will open a menu to allow others to be able to edit and collaborate on the file.
