Course Access Overview
The Course Permissions Tool allows Admin to give instructors access to specific or all courses. This access gives the user instructor access, meaning they will be able to view ALL learning objects, class communications, grades, discussions, and any other content within the course. They will be able to perform any tasks that the actual instructor can perform, which includes editing grades. For this reason, we recommend Admin restrict approving course access to only the courses instructors absolutely need access to.
Course Permissions Tool
The Course Permissions Tool can be found in BlueQuill under Shortcuts > Tools > Course Permissions.
Clicking this link opens up the Course Permissions Tool in a new browser tab. It will look like this:
Notice that there are two tabs at the top of the menu. The first tab, Request Permission, is where you can enter in a request for you or someone else. The second tab, Approve Permission, only displays for Admin, since this is where requests are either approved or denied.
From this menu, you can do a few things:
Request Course Access:
- Type in the username, first name, or last name of the person who needs course access. If you are searching for a user by typing in their name, find their name in the list that auto-populates and make sure to select the correct user from the drop-down menu:
- NOTE: You may type in a specific username, but if that username doesn't match any existing username then you will see an error message saying "Invalid User Name".

- After finding the correct user, you will be prompted to choose the Department, Number, Section, and Trimester for the course. You may choose ANY in any of these drop-down menus to include the entire list.
- For instance, if you require access to all ACCT courses, you may select:
- Department: ACCT
- Number: ANY
- Section: ANY
- Trimester: ANY
- Likewise, if you require access to ALL courses across every department, you can select ANY for the Department category. This level of permission should be reserved for special cases only.

- Next, make sure to select the location of where the course(s) are taught. If you are requesting permission to multiple courses that may be taught in many different locations, you can select ANY.
- Next, choose the role that pertains to your position. Here are the most common roles and their permission levels (NOTE: Not all roles are available to every instance of BlueQuill):
- Instructor/Mentor (most common): Allows the user to access a course as if they were the instructor of the course. View/edit course content/class communications/grades/etc.
- Student/Tutor: View course content exclusively. No access to grades, submissions, the hub or other features. This role is useful for viewing course content only.
- Helpdesk: This role is useful for tech. support and troubleshooting. Most access is similar to instructor permissions, except this role allows a student view of assessments.
- Academic Advisor: This role is useful for advisors who wish to see a student's course without viewing the student's personal submissions, grades, etc. This gives advisors the chance to see a student's course with some instructor permissions without invading student privacy.
- The last step of submitting a request is to add any notes that you feel the Admin would benefit from viewing. After filling out the form, make sure to click "Submit Request".
Monitor a Request's Approval Status:
- Now that you have submitted the request, it will appear on the right-hand side of the screen with a clock icon to show the request is pending. All of your requests, whether approved, denied, or pending will appear here:
- Once your request has been acted upon, you will receive an email notifying you of the request's approval status.
Approve/Deny Requests (for Admin):
From the "Approve Permission" tab, Admin can view pending requests and either approve or deny them. Here is what the list of requests may look like:
When you click either approve or deny, a text box will appear and ask you to describe the reason for the decision. This is only required if the request was denied. After you have made your selection, make sure you submit the approval or denial. Whoever requested the course access will then receive an email, notifying them of your decision.
JumpTo Tool
After a user has been granted permission to access at least one course, they will see the JumpTo menu appear at the top of their BlueQuill home page, like so:
- NOTE: The menus above vary per instance and per user, but the JumpTo menu icon will look the same.
To use the JumpTo menu:
- Click the JumpTo icon to open up the course selection menu:

- From this menu, you can either search for a course or revisit your Recently Viewed courses at the bottom of the menu.
- When searching for a course, make sure you select the correct Term by using the arrow buttons under the word Term.
- To search for a course, make sure to follow the formatting shown above. The courses 4 (or 3) letter acronym, the course number, a "-" symbol, and then the course section. You can also enter part of this information, such as just ACCT, to find all accounting courses you have permission to view.
- After finding the course you would like to view, click the course and it will open up to the course's home page.
